It's best to track freight shipments directly on the freight carrier's own site. You will be given the name of the freight company that has your order and the tracking/PRO number to look your order up.
In cases of multiple shipments, eBay will show any small UPS, FedEx, USPS, etc. shipments as the primary tracking number, but you can get the freight tracking by viewing your full order details. When your order reaches a nearby terminal, you will be contacted to schedule a drop off date & time, usually this is about 24 hours before delivery. We process and ship orders Monday through Friday, mainly from our warehouses near Dayton, OH Atlanta, GA and Albany, OR. Our products that ship via LTL freight are delivered curbside to residential or business addresses within the 48 lower states.
Orders typically ship within 1-2 business days, and arrival is expected within about 3-5 business days from order to delivery in most states. This may go up to 5-10 business days when shipping cross-country or to very rural locations. Transit times are not guaranteed and can vary based on your address or weather. Some items may be placed on backorder, and require a few extra business days to ship.

We highly recommend not to schedule your installation/replacement with your technician until you have received your product to avoid any possible additional charge! As most shipments are not via our own delivery trucks, some delays in by the carrier may occur which are unfortunately out of our control.
Most items we sell will ship through freight carriers on a skid, strapped down, and wrapped to prevent damage. The freight company should call the number on your order to schedule a delivery appointment with you before attempting delivery. If you're unfamiliar with freight shipping, please review the below list to check the shipment for damage before signing for delivery.
- Do NOT sign for your shipment until all items have been carefully inspected.
- Remove any cardboard to ensure that there is not any concealed damage.
- Check that all units have been received in good condition or refuse delivery.
Please inspect your shipment carefully while the delivery driver is present and DO NOT sign for the package without inspecting the product. When you sign the delivery receipt, you are releasing the trucking company from responsibility for the condition of the product received. We cannot be held responsible for damage caused by the trucking company during transit.

Once your order arrives, make sure to inspect every item on the pallet. Count the number of boxes in the shipment and ensure it matches the count printed on the delivery receipt before signing for your delivery.
Missing items or incorrect items should be reported within 24 hours of receiving your order by contacting our customer service department, either through eBay or directly.
Small items or accessories are commonly tucked into boxes of larger items to protect them during transit.
Be sure to check inside all boxes before reporting a missing item!After taking count of the pieces on your shipment, remove wrapping or boxes to inspect each item in the front of the driver. Do NOT sign the delivery receipt until you have thoroughly looked at each item, checking for dents or heavy scratches. Make sure to mark the delivery receipt as clear, short, wrap broken, or damaged (whichever is applicable) after inspection.
If the number of items on the delivery receipt matches the shipment with no apparent damage, accept the delivery and sign the receipt as clear.
Note: The consignee (customer) is responsible to assure that the products being received are clear of damages and/or shortages.
If the items or boxes do not match the number listed on the delivery receipt, mark the receipt as short (a packing slip will be attached to the freight shipment for reference.) Please note on the delivery receipt which items are missing and reach out to us; we will work with the carrier to track anything missing. Please allow appropriate time for the freight carrier to locate the missing items notated short on the delivery receipt. If the freight carrier is not able to locate the missing items, we will ship those items via standard ground shipping to you at no charge.
If the shrink wrap is torn or has been replaced during transit, mark the receipt as wrap broken.
If your order arrives with obvious or heavy damage, please refuse the shipment and contact us so we may issue a replacement order. If you are unable to refuse delivery, the damage is concealed, or there is cosmetic damage, contact us ASAP to make things right.
If you are present at the time of delivery and an item has small cosmetic issues, please accept the items, but note the damage on the delivery receipt.
At HVACDirect Online we work hard to deliver high-quality products in excellent condition to your residence. If for any reason you're not completely satisfied with your purchase, we can help with returning unused merchandise for a refund.
Returns for Unused Products
We can only process returns on unused products for a refund that are purchased from HVACDirect Online. A 15% restocking fee may be deducted from the refund, unless defective. Contact us within 30 days from when your order was shipped to start the return process.
To receive a refund, please ensure ALL of the following:
- Items are in resalable, uninstalled condition (no damage/defects)
- Include all original packaging (manuals, packing material)
- Include any free or gift items such as accessories
- No writing/labels on original manufacturer packaging
- Shipped back via a traceable source like FedEx or UPS
- Freight shipments must be returned via LTL freight (contact us if you're unsure which method to use)
- Products must be returned with their assigned return merchandise authorization (RMA) number if applicable
The purchaser is responsible for the cost of return shipping on customer choice returns or if the wrong equipment is purchased.
Returns with our "Free Shipping Offer" will have the original shipping fees that HVACDirect Online incurred from shipping your order deducted from the refund. For orders not associated with our "Free Shipping Offer," original shipping charges are non-refundable.
Please retain your tracking number after shipping your product.
Returns for Damaged or Order Errors
If you are returning a product because we made an error, we will promptly send you the correct item at no additional cost; we will also schedule and pay for return shipping. Please contact us and advise of the incorrect item received.
If the product is damaged, we will pay for return shipping should we require the item back for a replacement or full refund. Please contact us ASAP for any types of order issues, our customer service team is here to help!
Unique items like our "Open Box" or "Scratch & Dent" inventory may not have a similar replacement available.
In such cases we can instead process a full refund for any issues on these types of items.
We know if your HVAC system fails you need it fixed quick; no worries, we have you covered! Our tech team will work with you to provide any warranty part that a unit purchased from us needs. Please make sure to review and are familiar with the terms, language, and/or requirements for any applicable manufacturer's warranty.

How Do I Register My Warranty
In most cases, a licensed professional must either install or inspect your equipment before and after initial start-up. After installation is complete, the technician should provide a dated invoice with the model and serial number(s) of the units.
Some manufacturers require registration of the product(s) within the first 30-90 days from installation to receive full warranty coverage. It does not cost anything additional to register equipment - all warranties advertised are at no extra charge. Some restrictions apply, see manufacturers documentation shipped with the unit(s) or refer to applicable manufacturer's website for full warranty terms.
Warranty validation is solely dependent on the manufacturer's requirements for the item(s) purchased, please review their warranty policy for more information.
How We Provide Warranty Parts
We have full-time technicians on staff, providing warranty replacement parts for any units that have been purchased through us that are still under warranty. In many cases, the failed part must be returned to us for the warranty.
Any expedited shipping will be an extra charge.We reserve the right to reject any warranty claim for a replacement part(s) and/or repairs if all or any of the required documentation is not provided at the time of filing a claim.
Is There a Labor Warranty
No, we do not directly provide any labor warranties or compensation for any costs incurred by the consumer due to malfunction of components on any products sold. In most cases, professional installers can provide labor warranties - please inquire with them on pricing and availability.
If any product purchased from HVACDirect Online should result in non-operation upon installation or initial start-up, we are only responsible for supplying the item(s) warranted by the manufacturer. We do not provide any warranty above and beyond the manufacturer's warranty.
